We’ve been a Google Workspace customer for years and years now and throughout that time it’s been fantastic with no issues, we see it as an essential part of our business. Within this Google Workspace review we’ll look into the features, the pros and cons, pricing as well as alternatives so you can see if it’s right for your business too.

Google Workspace (formally called G Suite) is a cloud based productivity suite offering a range of apps for your business. We’ve been using it for over 10 years as a business and use many of these apps constantly throughout our work day.

What is Google Workspace?

Essentially, it’s a collection of cloud-based applications which give you the key tools to running a business, including your email, meetings, calendar, documents, storage and much more.

Once you sign up to Google Workspace you’ll get access to the following:

  • Gmail for your business - including having your professional email i.e name@yourcompany.com
  • Google Meet - For business video calls
  • Google Calendar - For organizing your meetings, diary and life
  • Docs - For articles, documents and more
  • Sheets - For everything spreadsheet related
  • Drive - For all your cloud storage
  • Keep - For taking notes
  • Chat - For speaking to your team
  • + many more features and apps

We’ll go into more detail on each of these later on in this Google Workspace review.

When you incorporate these apps into your businesses day to day operations you’ll find that your workflow is more productive and your team and business can grow better with everything working in sync together.

Who is Google Workspace designed for?

Any business, although this sounds vague, it is because the platform is so versatile in that it can be a brilliant option for a lone freelancer or small business but also at the same time be incredibly powerful for an enterprise sized business.

Each app has been designed with businesses and users of all sizes in mind and they’ve done a great job as it does exactly what is needed.

So whether you’re a freelancer, small to medium business, large or enterprise company you’ll find that there are a variety of plans to suit and all of the apps and tools will work just as you expect if not better.

Pros of Google Workspace

There are numerous positives to using Google Workspace including:

  • Incredibly user friendly and easy to use
  • Ability to set up your own email at your own domain name
  • Full access to range of apps including Docs, Sheets, Meet, Calendar, Chat, Keep and more
  • Increased storage across all apps and email
  • Seamless integration between all of the above apps
  • Fantastic value for money
  • Top of the game in terms of security, privacy and safety

There’s no denying that one of the main reasons that people sign up to Google Workspace is for the ability to create your business email addresses and to manage all of your emails from writing, sending and receiving them.

Many people opt to sign up to Google Workspace after initially having a Gmail account (youremail@gmail.com) but want to start using their domain name in their email i.e yourname@yourdomain.com which not only is key for a professional look but also helps you organize everything around your business domain name.

Another key reason people sign up us all of the apps you’ll get access to which are great for your business, the most popular being Google Drive, Meet, Calendar, Docs, Sheets and Chat. The fact that these all seamlessly work together means your productivity can increase drastically and make your life much easier.

Cons of Google Workspace

There are not that many downsides to using Google Workspace from our experience, however some users and businesses may find the following:

  • As it’s cloud based it may not be suited to those who don’t regularly have access to the internet

Our favorite Google Workspace apps

Each business and person within that business will find different apps more useful than others, for us personally we use Gmail for all of our email, Calendar for managing all of our … calendar and Google Meet for all of our video calls. This paired with Docs, Sheets and Drive for us are the key apps that make Google Workspace work perfectly for our business.

Gmail

Gmail site

There’s a reason that millions of people use Gmail every day for emails and that’s because it works and it works really well. So it’s no surprise that businesses want to use it to manage all of their email too.

With Google Workspace you can utilize all the best bits of the free Gmail service but have a range of features including your own business Gmail email address i.e yourname@yourdomain.com  as well as core business ones such as help@ contact@ hello@ team@ and so on.

With Google Workspace plan you can add multiple users to your plan each with their own professional email.

You can access your business email via the standard Gmail interface on the internet or you can get them pulled into an email client such as Outlook, Thunderbird, Apple Mail and so on.

Google Docs & Sheets

Sheets example

These two apps are very popular and the chances are you’ll have used both in the past, essentially they are similar to Microsoft Word and Excel but cloud based, all of which can easily be shared, collaborated on, add comments and suggestions on and so forth.

With everything being saved onto the cloud (you can also save it onto your hardrive too) it means you can always access the files whenever and wherever you are.

Google Drive

Google Drive example

The above apps as well as your email’s can all sync together with Drive which is essentially your cloud ‘hard drive’ or storage space, here you can upload files, documents, photos, videos, music and so forth to safely store, access remotely, send to others and to be accessible by other apps within Google Workspace.

The amount of space you’ll have will vary depending on the plan you choose, storage is pooled i.e shared across different apps per user.

Google Calendar

As the name suggests, this can be used to organize your business life (and personal) whether that’s adding in meetings, putting in events, reminders and so on. It will sync to your other apps so you can easily and quickly add Google Meet within the calendar or from that app, you can create meetings within Gmail and have it push through to your calendar and much more.

This for us, is essential in keeping our business and team both organized and in the know of when meetings and events are as well as deadlines. Plus it makes it harder to accidentally miss something as you can set up reminders that push through via your phone or laptop.

Google Forms

This is another useful tool that you may not use as often as others but when you do you’ll be thankful that you have it.

This app essentially lets you create forms and surveys that you can then share with customers, your team or anyone that you wish. You’ll be able to see all of the data so you can analyze it and use it to make more informed decisions.

We’ve found it very useful for getting feedback from our team as well as from our customers across the years.

What is Google Workspace support like?

When you become a business customer of Google Workspace you’ll get access to support 24 hours a day 7 days a week, this can be done via email, online chat or phone depending on your preference.

This is vital for businesses who email and having access to documents and files is crucial, therefore in the rare time that something does go wrong or you need some additional help it’s always key to make sure that you can get the help when it’s needed.

The Admin Side

Of course what is also crucial to make Google Workspace work well is that you have an admin console and dashboard which gives you the control you need.

As you may expect, Google has this sorted, from the admin console as an administrator you’ll be able to do everything you need from the security and management side to the monitoring and billing.

It’s easy to use and quick so whether you want to add another user when someone joins your company or say in a worse case scenario when an employee leaves on bad terms and you quickly need to ensure they don’t have access to emails and files you can quickly revoke or change access for them.

Safety and Security

Workspace reviews

As you can imagine both security and safety are crucial to software and apps like this and as you’d expect Google being one of the biggest tech companies in the world have this nailed down.

It’s one of the reasons many companies (including ourselves) decide to use them as they know that security, compliance, safety and privacy will be at the heart of all of the tools that they have on offer.

If you want to know more we encourage you to check out the Google Workspace security page which goes into much more detail all around the safety and security side of the business.

AI and Google Workspace

It’s no surprise that Google are at the forefront of the AI space and as such you’ll be able to take advantage of Gemini for Google Workspace, this essentially lets you chat to Gemini within their range of apps and gives you access to Google’s best AI tool.

You can use this to help you write emails, come up with ideas for marketing campaigns, analyze data, create pitches, design presentations and so much more.

Once you start to experience and experiment with AI in your day to day tasks within the range of Google apps you’ll quickly realize the power and versatility of it.

Our Google Workspace verdict

In our opinion (and from the millions who have trusted Google with their business) we believe it’s one of the best suites of apps that you can use as a business. With the years of experience that Google has they have created extremely polished apps which work seamlessly synching with one another to make your business life easier.

The price is extremely competitive and we feel it is incredibly good value for all the apps you get, this paired with your Google Drive means you can work from wherever you need to and access all the key parts of your business such as your email, docs, files, calendar and more in a matter of clicks.

Combine all of the benefits of Google Workspace with our 20% discount on the Business Standard plan for your first year and you’ve got a fantastic offering which we think you’ll love.
